Conference AV Production in Brisbane

Full AV production and staging for conferences and workshops across Brisbane and South East Queensland. From 30-person workshops to 500-person multi-day conferences.

A conference is only as good as the production behind it. When the sound cuts out, the slides don't display, or the presenter can't see their notes, the content stops mattering. People in the room notice - and so does whoever planned the event.

G&M Event Group has delivered over 500 corporate events in Brisbane and South East Queensland over 27 years. We know what a well-run conference production looks like, and we know what goes wrong when the details aren't handled properly. Our job is to make sure none of those things happen at your event.

We work across the full range of corporate conferences and workshops - from intimate 30-person sessions in a boardroom to large multi-day conferences in convention centres and hotels across Brisbane and SEQ.

Full Service Production

What We Handle

Every element of conference production, supplied and operated by one experienced team. You brief us once - we handle the rest.

Vision

Screens sized to the room so every seat can read the slides, from a single large-format screen to a full LED wall. We run the vision mixer (the desk that switches between slides, videos and camera feeds), set up confidence monitors so presenters can see their slides without turning around, and add IMAG when the back rows need a closer look at the speaker.

  • LED walls
  • Large format screens
  • Confidence monitors
  • IMAG
  • Vision mixing

Audio

Every presenter, panellist and audience question heard clearly in every part of the room. We match the microphones to the session, a lapel mic for the keynote, handhelds for the panel, a lectern mic for the MC, and our technician stays on the mixing desk all day, managing levels and mic handovers as the program moves.

  • Handheld microphones
  • Headset microphones
  • Lectern microphones
  • PA systems

Lighting

Lighting that makes presenters look good on stage and on camera, and gives the room a finished look. Stage wash lights the people, not just the stage. Backdrop and uplighting add colour in your brand palette, and at larger conferences, moving heads (lights that move and change colour on cue) change the look between sessions, awards and the evening function.

  • Backdrop lighting
  • Atmospheric effects
  • Moving heads (larger events)

Recording (optional add-on)

A clean record of your keynotes and sessions, taken straight from our mixing desk and cameras rather than a phone at the back. Add a livestream for staff or delegates who can't be there in person, and use the footage afterwards for training, internal comms or social content.

  • Audio recording of proceedings
  • Video recording of presentations

We Scale With You

From Workshop to Full Conference

The setup scales to the event. We don't apply a one-size-fits-all approach - we match the production to what the event actually requires.

Up to 50 guests

Workshop or small briefing

A lapel microphone, compact PA, and a single screen. Everything your presenter needs to be heard and seen clearly, without overproducing a small-format event.

50-200 guests

Mid-size conference

LED wall or large-format screen, multiple microphone types, stage wash and backdrop lighting, confidence monitors for presenters, and a vision mix operator.

200-500+ guests

Large or multi-day conference

Full production: large LED wall, IMAG camera feed, complete lighting rig, multi-microphone setup, dedicated crew managing audio, vision, and lighting across multiple sessions.

Who We Work With

We Work With Everyone Involved in the Event

Conference bookings come from all directions. Here's how we work with each of them.

In-house event managers

You brief us. We handle everything.

Tell us your event format, venue, and requirements. We'll come back with a production plan and a clear quote. Once you're happy, our crew manages everything from bump-in to packdown - you stay focused on the event itself.

PAs and EAs

We help you ask the right questions.

Not sure what your event needs? That's fine. Tell us the basics - date, venue, expected numbers, and what the event involves - and we'll work out the right setup and explain it in plain terms. No technical knowledge required. If you want a head start, our guide to corporate AV hire in Brisbane covers what a typical setup includes.

Event agencies

A production partner you can rely on.

We work regularly with event agencies as a production supplier. We understand how agency relationships work, we meet deadlines, and we don't create problems on-site. If you need a reliable Brisbane AV partner, let's talk.

Before You Get in Touch

What to Include in Your Brief

The more detail you can give us upfront, the more accurate your quote will be. You don't need all of this to get started - but if you have it, include it. Our conference AV buyer's guide walks through the rest of the brief.

  1. Event date and venue Including bump-in access time if known.
  2. Expected guest numbers Even a rough estimate helps us size the production correctly.
  3. Session format Single stage? Panel discussions? Breakout sessions?
  4. Number of presenters And whether they'll be moving around or staying at a lectern.
  5. Any vision or branding requirements Logo display, branded slides, or specific screen layouts.
  6. Whether recording or livestreaming is needed Audio only, video, both, or a livestream.
